Position Available: Property Client Support Specialist
Location: Remote; Sri Lanka
Hours: Full-time - 5:30am - 1:30pm, IST Colombo time
We’re hiring a high-performing Property Client Support Specialist to work closely with a respected Australian Buyers Agent. You’ll be responsible for streamlining communications, managing deals across the pipeline, and keeping both clients and stakeholders aligned through each stage of the property journey.
This is a hands-on, detail-driven role for someone with excellent admin and CRM skills, confident communication abilities, and a passion for improving processes. You’ll work 1:1 with the Buyers Agent and be trusted with key tasks that directly impact client experience and business performance.
Your main responsibilities and experience:
- Inbox & Calendar Management: Monitor and manage daily communications. Flag key action items, coordinate client appointments, inspection bookings, and post-contract milestone dates.
- CRM & Pipeline Management: Maintain deal flow across CRM stages. Update lead and contact details, track activity, and assist with daily planning via CRM views.
- Lead Capture Support: Record and tag leads from brokers, conveyancers, and other referral sources. Ensure accuracy and consistency in CRM notes and data.
- Post-Contract Coordination: Liaise with agents, conveyancers, brokers, and inspectors. Schedule inspections, track finance approval progress, manage settlement timelines, and keep the client informed at each stage.
- Contract & Invoicing Assistance: Help prepare contracts via DocuSign, support invoicing and document tracking, and maintain organised digital records.
- Process Documentation & System Improvement: Document workflows and SOPs, update CRM structures, and contribute to delivery system enhancements.
- Optional Marketing & Outreach Support: Assist with LinkedIn outreach flows, Canva content for social media, and basic online presence management.
What your profile will look like:
- Must have - 4+ years of experience supporting international clients (Australian market experience preferred, but not essential).
- Must have - Ownership mindset: You’re highly proactive, organised, and confident working independently without the need for micromanagement.
- Must have - Strong communication skills: You manage email professionally, follow up diligently, and are confident communicating with clients and third parties.
- Must have - CRM and systems confidence: You know how to keep CRMs clean and structured, and aren’t afraid to suggest better ways to manage the pipeline or improve workflows.
- Preferred - Process improvement experience: You’ve contributed to documenting SOPs or refining admin systems in a previous role.
- Preferred - AU Real estate exposure: While not required, familiarity with property deals, settlements, or contracts is a plus.
- Bonus - Canva or LinkedIn skills: If you’ve worked on content or social media in a support role, that’s an added benefit.
